  • What is Evaluing about?

    Evaluing is a FREE software for hotels, apartments or campsites that gathers and shares reviews about guests.

    The database is fed by the information provided by other registered owners.

  • How does it work?

    Evaluing procedures are based on the previous guest consent through a legal text embedded in the general conditions of the Guest-Data sheet.

    Getting information and rating guests can be made either automatically or manually.

    • Automatically: Through the integration with the channel manager or booking software.
    • Manually: Through Evaluing’s website browser.
  • Are reviews confidential?

    Yes indeed. reviews are completely CONFIDENTIAL. Under no circumstances will an establishment know who the author of a review is. The date and place of reviews are also confidential. Evaluing is required to protect the anonymity of the establishments.

  • Is Evaluing a guest blacklist?

    No, it isn’t. Evaluing is a database of reviews about guests. Reviews are both positive as negative, and are supplied by the owners registered.

  • Why a global database of guests had not been created before?

    Because according to the popular belief, the law of Personal Data Protection does not allow to create a database collecting information about clients. Such belief is not accurate. Databases of that kind might exist, as long as some complex legal requirements are observed.

    After a thorough analysis and exhaustive work in the legal field during approximately 5 years, Evaluing is in the position to claim that our procedure carefully observes the regulations of the EU General Data Protection Regulation (GDPR).

  • Conditions

  • What requirements do I have to fulfil to be able to use Evaluing?

    Only those accommodation establishments legally established can use Evaluing software. Individuals cannot access the service.

  • What requirements are needed to write a guest review?

    The establishment must add a paragraph of legal kind to their standard guest data sheet. By signing this document at the check-in, the guest accepts to be included in Evaluing database. Only after this signature can the establishment rate the guest. Finally, the establishment must have Privacy Policy that details the treatment that will be made of guest’s personal data.

    Evaluing will provide you with the legal text after the registration.

  • Who can write a review about a guest?

    Only the authorized representative of the establishment that has signed up in Evaluing.

  • What kind of misbehavior can be reported?

    There are two kind of assessments:

    • General score:  it is the level of satisfaction with the guest on a scale from 1 to 5.
    • Incidents: particular incidents that occurred during the guest stay in your establishment, such as “left before the date initially agreed upon”, “caused damages to property”, “items have been stolen”, etc.
  • Can a establishment access the complete database?

    No, it is not possible. Only single searches are allowed by Evaluing browser. It is not possible to obtain a full list of all registered guests.

  • Integration

  • What are the advantages of integrating Evaluing in your PMS?

    My Guests tool: You can access a complete guest manager software. You can check in advance the profile of the guest who has reserved a room in your establishment. You don’t need to type their names in the manual browser on our website. The automatic guest manager checks the guest’s personal data for you and adds them to the records of your forthcoming check-in list.

    Notifications: You can receive in real-time the profile of the guest who has booked a room.

    One-click evaluation: As the guest manager has automatically registered the guest’s data, after the check-out the establishment just needs a click to rate the guest. If any particular incident is to be reported, a detailed form can be fulfilled.

  • What are the requirements to integrate Evaluing?

    The establishment needs to work with a hotel management software, such as a channel manager or a PMS that manage your reservations.

  • How can I integrate Evaluing with my property management system?

    Go to the section “A-Manager” of your C-Panel. Select the hotel management system you work with and click on “activate”. You will then receive an email with a link to your software website*. You will need to log in and accept the required permits so that Evaluing can be connected to your software. As soon as you complete the activation, every time you receive a reservation your guest data will be checked by the A-Manager to keep you informed anytime.

    *This process will not be available if your hotel management software is not connected to Evaluing. If so, you will have to contact us to have a manual activation.
  • How long does it take to complete the integration?

    If the hotel management software is already connected to our database, integration will be immediate. Otherwise, at least working 7 days will be needed to activate a manual integration. The establishment will be informed of the progress of the integration.

  • How can I set up my notifications?

    On the top right part of the screen, by clicking on the name of the user a menu will be displayed. Select “Notifications” to access the available options. Notifications can be set up by sorting the type of guest in an assessment range from 1 to 5. That is to say, if the establishment selects “Normal or Lower”, only notifications of guests rated between 1 to 3 will be received.

  • Is Evaluing legal?

    Yes, Evaluing procedures obey the EU General Data Protection Regulation (GDPR), as well as the regulations developed. Procedures are submitted to biannual audits and we have passed an ex-officio inspection of the Spanish Data Protection Agency.

  • How does Evaluing obey the EU General Data Protection Regulation?

    Evaluing procedures are based on the active and freely given guest consent through a legal text embedded in the check-in sheet.

    Also by the development of high-security measures and a thorough fulfilment of the requirements related to the rights of access, rectification, erasure and objection.

  • Is the system secure?

    Evaluing database is secure and managed by experts in telecommunications. Procedures comply with the technical an organizational security measures required by the EU General Data Protection Regulation (GDPR).

  • Who can access the database?

    Only those establishments registered can check if a guest has been included in the database.

  • What kind of personal information does the database gather?

    Only the guest’s name and surname, personal identity number and phone number are registered in the database. It does NOT contain any personal information such as political, religious or sexual orientation of the guest.

  • Does the database contain information about the guest’s credit card details?

    No. Evaluing has no access to the guest’s credit card details.
